1. Please confirm how many staff attended the Wokingham Borough Council Colleague Conference
There were 1057 in attendance. This number includes staff that were involved in the delivery of the conference.
2. Please confirm the total cost of providing the colleague conference - please itemize costings specifically for:-
- total staff costs delivering (including planning and rehearsals,)
- venue hire
- staff time attending
We do not hold most of this information in a reportable manner. While we can provide venue costs, we are unable to breakdown staff time attending. We do not hold records of staff time spent travelling to the venue, and the only method to calculate ‘cost’ of attendance is using their wage and hours for the colleague conference. This would be a manual task of cross referencing attendance and mapping out against hourly rates. If we took it as 5 minutes per attendee that would be 88 hours worth of work ((1057 participants x 5minutes) / 60).
We can confirm that there was no rehearsal undertaken in the venue or at Council offices. We do not hold a record if individuals participating in the colleague conference rehearsed what they would say in their own time. Planning and organising for the event was done during normal work hours and therefore do not have a separate record of costs.
The invoiced costs for the whole of the conference were £7,890. Of which; £5,332 was on venue hire.
3. The total cost of Graham Ebers moon walk (this sum to include total staff time watching, proportion of total space hire costs, and all costs related to planning and rehearsal of moonwalk)

4. As above - please confirm the total cost of Graham Ebers introduction of panels for Q& A sessions (this sum to include total staff time watching, proportion of total space hire costs, and all costs related to planning, research and presentation of bios of staff on panels)
We do not hold this information. The Freedom of Information Act is about information that a public organisation holds. We do not need to create information in the course of answering a question under the Act. Therefore we are unable to answer this question.
5. Total cost of guess the baby pictures of Q&A panels (this sum to include total staff time watching, proportion of total space hire costs, and all costs related to collection of photos etc)
