Library online Services - Please get somebody responsible to explain:

1. Why you have this 2 year policy?
The 2 year policy is stated in the Council’s retention policy to ensure the council meets its obligations under the data protection legislation

2. How the 2 year policy is related to data protection?
The 2 year policy is to meet our obligations under current legislation to ensure data is adequate, relevant and limited to what is necessary in relation to the purposes for which they are processed and to ensure we are not holding data for longer than it is relevant

3. Why do I have to send my personal data (which you already have) over an insecure connection (email) to get you to reinstate my account?
The Council’s email systems are capable of receiving secure encrypted emails. The information can alternatively be provided via phone or a visit to a library.

4. Why was I not told that this 2 year policy was going to cause my account to expire?
There is a small Data Protection Declaration on the back of the membership form you might have filled out, or when signing up for our Temporary Memberships, directing you to how the council uses your data and the Council Retention Policy.

5. What is going to happen in 2 year's time?
We do not hold this information; we expect to be reviewing our library computer system provision within the next 12 months and this may change a number of processes.
