Volume of Data Subject Access Requests (DSARs)

Please provide the following details:
1. The total number of Data Subject Access Requests (DSARs) received by your authority for each of the last three years (2021, 2022, and 2023).
2021: 119
2022: 125
2023: 138
2. The number of DSARs completed within the statutory one-month timeframe during each year.
2021: 51
2022: 88
2023: 102
3. The number of DSARs that required an extension beyond the one-month timeframe, along with the average length of extensions granted.
2021: 68

The 90 day extension was applied but many went past that due to resources and complexity of request. Requests related to Care Leavers increased workloads. We do not hold the average time the requests took / extensions granted. Due to the Covid-19 pandemic there was a backlog due to other priorities that were expected which took 18 months to clear while completing new submissions.
4. Any recorded costs (e.g., staff time, software, or other resources) associated with processing DSARs for each of these years.
2021: £35,860.39
2022: £44,362.50
2023: £45,776.23
These costs do not account for Salary, Systems used to log Subject Access, or system/filing where the data is actually stored. This 'cost' is calculated from time taken times £25 which the ICO set for FOI consideration as we are able to use as a comparison.
